Understand how to use AI Sales Rooms

Letter's AI Sales Rooms are designed to enhance buyer engagement, accelerate sales cycles, and provide resources for your existing customers. These secure, on-brand microsites provide a rich, collaborative experience tailored for crucial deals and interactions with prospects and customers.

Creating New AISRs

To create a new AI Sales Room, click on the Create New AI Sales Room button at the top right-hand of your screen.

You will now have three options:

  • ✨ Create with AI

  • Create with template

  • Create new

Note: You can add collaborators to your AISR by clicking on the icon next to the Save button (and designate them as an editor or viewer). This is a great option to have multiple members of the account team work on an AISR together. In order to use the collaborative chat feature when setting up your share link, you must add team members as collaborators.

Create with AI

Selecting Create with AI opens a guided setup that allows you to generate a fully customized AI Sales Room using CRM data and AI-generated content.

You’ll be prompted to complete the following:

  • Name

  • Description (optional)

  • Opportunity (select from CRM, if enabled)

  • Customer Name (auto-populated when CRM is connected)

  • Template (required)

  • AI Instructions (used to guide content generation)

  • Brand Colors (optional)

  • Customer Logo (optional)

Once submitted, AI automatically generates the Sales Room in a new tab using your inputs. You can leave the page and will be notified via email once it’s complete.

The room is created in Draft mode, and you will see a summary of all updates made to the template with the option to reject any.

How AI Generates the Sales Room

AI reviews and updates all relevant components of the Sales Room based on the provided context:

  • Updates text, headers, surveys, forms, and checklists with relevant messaging and branding

  • Applies brand colors and logo where applicable

  • Adjusts AI Video and Avatar scripts to reflect customer name and industry

  • Enhances content and shortcuts when there is high-confidence value (without removing existing content)

  • Resets operational elements such as:

    • Task ownership and due dates

    • Checklist progress

    • Form recipients

    • Process steps

    • Survey responses

Templates

Admins on your platform have the capability to create and edit templates for users and managers. If you have Admin, Owner, or Creator permissions, you can update existing templates by selecting Edit Template from the template picker to modify content, design, or settings. Reach out to your company’s Letter admin if you need help creating or managing templates.

Managing AISR Settings

Settings for AISRs provide a robust and flexible way to manage how your ASIRs reach your end prospect/customer. (To see how to manage access to the AISR settings, see here).

General Settings

General settings allow you to name your AISR, chose the default language, provide a description, and customize the color scheme and branding.

  • Favicon - the icon that appears in the browser tab when the site is loaded.

  • Cover Image - the image displayed in the card for this site in the AI Sales Room home page.

AI Agent Settings

  • Enable/Disable Chatbot: If you'd like to make AI Agent available to your prospects/customer as part of the AISR, you can toggle the AI Agent on/off with the Enable Chatbot toggle.

  • Agent Name: Customize the name of the AI Agent.

  • Agent Greeting: Give it a custom greeting the user will see when they first open it.

  • View Mode: Standard vs Side Panel. Standard view means the AI Agent window will show as a smaller panel to the right of the page; Side Panel view means the AI Agent will be a full size panel along the right side of the page.

  • Open on Startup: Sets the default as the AI Agent being open when they first view the page vs. AI Agent will be a collapsed modal the user clicks to expand.

  • Instructions - Put any instructions to the AI Chatbot you want it to follow when interacting with your prospects. Example instructions to include would be specific responses you want AI Agent to provide to questions asked by the user.

    • Example Instructions: "If the user asks what our key differentiators are, you always respond with this....."

    • "If the user wants to know about pricing, refer them to this......"

  • Chatbot pre-canned questions: These show up as suggested prompts to the user when they first open up AI Agent. If you want users to ask specific questions/prompts, this is a great place to input here. The fields to input are "Label" (what the user sees to select in AI Agent and "Question" (what gets input into AI Agent when they select that option).

Voice AI Agent Settings

AI Agent also comes with an audio interactive version that the user can use. It appears as a microphone next to the AI Agent icon.

  • Voice AI Agent Title: Customize the name of the Voice AI Agent.

  • Voice AI Agent Custom Greeting: Give it a custom greeting the user will see when they first open it. You can customize the Title and custom greeting the voice AI says when the user first clicks.

  • Instructions: Put any instructions to the AI Voice Agent you want it to follow when interacting with your prospects. Example instructions to include would be specific responses you want Voice Agent to provide to questions asked by the user.

    • Example Instructions: "If the user asks what our key differentiators are, you always respond with this....."

    • "If the user wants to know about pricing, refer them to this......"

Authentication Page Settings

Authentication Page Settings refers simply to customizing the look of the page the user sees to log into the AISR. Here you can upload your company Logo.

Loader Page Settings

After a user has input their credentials to log into the AISR, they will see a loading page. You have the option to customize what the user sees when the AISR is loading to reflect your company's branding.

  • Enable Custom Loading Animation - toggle this on if you want to customize the loading page.

  • Loader Image: This is the image that appears while the page is loading, typically a company logo.

  • Loader Text: The text displayed to the user as the page is loading.

  • Loader Background/Foreground color: Customize the color scheme of the loader page.

Email Settings

When a user gets invited to access an AISR, they will receive an invitation email. Here you can customize what that email says and looks like.

  • Email Header Image: The image at the top of the email (often company logo).

  • Email Main Image: The main image displayed in the email.

  • Email Copy: What you want the email to say to the user.

  • Button colors: The colors of the "Confirm your Email" button that will link to the AISR.

Sharing and Managing Access to AISRs

Each AISR you create will have secure external share links for prospects or customers that maintain strict access control and privacy settings.

Letter users can customize the level of access for each link, ensuring that sensitive information is shared only with authorized personnel. Each ASIR can have multiple share links, giving you great flexibility in terms of how your AISR gets shared and viewed

Creating Share Links

When you're ready to share your ASIR with a prospect or customer, click on the Create Share Link button at the lower right hand side of the edit page of your ASIR. This is where you'll manage access and associated alerts. To edit any of these settings, simply navigate to the Manage Links page.

In the setup tab, you will specify:

  • Customer Name and the Link Title.

  • Link URL: You can also choose the default URL link that gets generated by the system, or click the "Link URL" box to customize the URL end.

  • Expires: If you want to set an expiration date for the AISR.

  • Granting Access Access: You have two ways for a user to gain access to your AISR, and you must choose one of them:

    • Requiring Email: This will require the user to input their email before viewing the AISR. For added security, we recommend also checking "Verify Email".

      • Verifying Email: if you want to ensure the user is the owner of the email address provided, click this box. This will prompt the system to send an email to the address provided that the user will have to confirm before viewing the AISR. This is a good way to ensure the user input a valid email address AND they have access to that email.

    • User profiles: If you don't want to require users to input email, you can require the users to set up a profile when viewing the site. This is helpful for you to gather more information of the user beyond just their email address such as their title and company.

  • Collaborative Chat: NOTE: In order to use Collaborative Chat, the User profiles toggle must be enabled. Collaborative chat allows prospects to chat with someone at your company who has been added as a collaborator to AI sales room (look for the add collaborator icon next to the Save button of the AISR). Prospects can @ mention a team mate, and select the profile within the collaborative chat.

  • Restrict Access to Specific Emails or Domains: To further enhance security of your AISR, we recommend adding specific emails or domains (@acme.com). This will help restrict access to specific individuals or employees from specific companies to your AISR.

Notifications tab

Whenever someone engages with a share link, alerts can be sent to specified email addresses. This includes when a room is viewed, a customer sends a message, rates a response (thumbs up/down), or clicks an agent assist action. Toggle alerts on and enter the email address(es) to receive notifications.

Managing Share Links

To manage existing links click on the arrow next to the Create Share Link button and click on Manage Links . This will bring you to the Links Statistics page where you can see all of the created links for that AISR, when they were created (and will expire), as well as if the link is active or not.

To copy the link to share, simply click the copy icon next to the link. To edit the link's settings, click on the pencil icon, which will bring up the Share Link page.
