Letter Call Recorder - Recording Disclosure Options

Letter AI's call recorder sends an AI note-taker that joins scheduled video meetings (Zoom, Google Meet, Microsoft Teams) to capture a recording and transcript. To support participant notice and consent, the recorder offers two disclosure methods. Each can be turned on or off independently by the user.

Option 1 — Pre-call email notice (turned on by default)

  • An automated email is sent to all attendees on the calendar invite, approximately 15 minutes before the meeting starts.

  • It is sent once per meeting and only when the recorder is scheduled to attend.

Option 2 — In-meeting audio notice

  • When recording begins, the bot plays an audible spoken notice into the meeting, and replays it whenever a new participant joins — so late arrivals are also notified.

  • Current spoken wording: "This meeting is being recorded."

Administrative Control

  • Both options are configured at the organization level by an admin (Settings → Integrations → Call Recorders → Meeting Bot Recorder) and apply to every recorded call for that organization.

  • They are separate toggles, so an user can run either, both, or neither.

  • Separately, each individual user must opt in before the recorder will join their own calendar meetings by (Settings → Integrations → Data Sources → Google Calendar)
